What Should You Actually Check Before Booking a Wedding Venue in India?
After 500+ weddings, these are the ten things we verify at every property before recommending it. Read this before you book anything.
1. Comfortable capacity, not maximum capacity. The number on a brochure and the number at which guests are actually comfortable are often very different. Always ask to see the space with the exact setup you need, not an empty room with a capacity claim.
2. How many rooms does the property have? For destination weddings, your family sleeps at the venue. If the hotel has 45 rooms and you have 300 guests, someone is being bused in from a different hotel at 6 AM on the morning of the wedding. That is a problem.
3. Are you the only wedding that day? More properties than you would expect run two weddings simultaneously on adjacent lawns. Always ask this question directly. “Are we the exclusive wedding event on our date?” Yes or no.
4. Is catering in-house or outsourced? In-house kitchens give you more control. If catering is outsourced, ask to see the approved vendor list and request a tasting from the actual vendor, not the hotel’s sample kitchen.
5. What is the rain plan? Every outdoor venue in India needs one. A property without a clear indoor backup option is a risk from October onwards and a serious risk in September.
6. What is not in the package? Décor top-ups. Generator backup. Overtime. Corkage. Welcome hampers. GST at 18% on everything. These additions can push the final bill 25–35% above the initial quote. Know them upfront.
7. What is the cancellation and force majeure clause? Read it. Make your planner read it. Do not sign without understanding exactly what happens if something goes wrong.
8. How far is it from the nearest airport? Udaipur, Jaipur, Goa, reasonable. Jim Corbett’s nearest useful airport is Pantnagar at 90 km. Jaisalmer’s airport is small with limited connectivity. Distance affects your guests’ experience significantly.
9. Has the property done your specific wedding format before? A Hindu pheras ceremony, a Sikh Anand Karaj, a Christian beach ceremony, a Jewish destination wedding, all have completely different logistical requirements. The best hotels have done all of them. Ask.
10. Who is your on-ground coordinator? Not the sales manager. The person who will physically be present on your wedding day managing every detail. Ask to meet them. Before you sign.
